- Responsibilities Key Responsibilities: Prepare accurate, detailed quotations for electrical products and solutions based on customer requirements. Ensure pricing reflects current terms, discounts, taxes, lead times, and availability. Coordinate with sales and procurement teams to validate specifications and costs. Draft and Manage Communications: Draft clear, professional emails and correspondence with clients, vendors, and internal teams. Maintain a record of all communications and ensure timely responses. Create standard quotation templates and email formats for consistency. Client Follow-Up and Order Support: Follow up with prospects and existing clients to advance quotes to orders. Track lead times, delivery schedules, and order status; escalate issues as needed. Resolve basic pre-sale and post-sale queries in collaboration with relevant departments. Inventory Entry and Records: Perform accurate entry of stock moves, purchase receipts, and bin locations in the ERP/Inventory system. Monitor stock levels, stock aging, and reorder points; assist with cycle counts and audits. Coordinate with procurement to update SKU data, descriptions, and specifications. Data Management and Reporting: Maintain clean and organized customer and supplier databases. Generate routine reports on quotes, pipeline status, inventory, and order fulfillment. Ensure data integrity across ERP/CRM systems and spreadsheets. Documentation and Compliance: Compile and file essential documents (invoices, delivery notes, purchase orders, warranties) for each transaction. Ensure adherence to company policies, pricing guidelines, and regulatory requirements. Administrative Support: Schedule meetings, manage calendars, and coordinate logistics as required. Assist in coordinating sample shipments, product literature, and marketing collateral. Support after-sales activities, including follow-ups for warranty and service issues where applicable.
